Good record management has many benefits to organisations and individuals. In this module, learners explore what a record is, records management and who is responsible for it, maintaining information quality and record classification. It’s important to understand the benefits of good record management and the consequences when it is not achieved.
There are 4 stages in the life cycle of a record, beginning with its creation and ending with its disposal. This module explores the ways in which records should be created, maintained and ultimately destroyed in the appropriate method. These methods apply whether the records are stored on a computer system or in paper files.
The Records Management course is assessed in a multiple-choice assessment format focusing on the life cycle of records, their creation, storage and disposal. Learners must achieve an 80% mark to pass.

Did you know that the records and information stored by your organisation have a life cycle all of their own? It starts when records are created and ends once they are properly destroyed or disposed of (unless they are to be preserved permanently in certain circumstances). In between these two phases, the identification, classification, security, and tracking of records all form a part of what is called ‘records management’, and it’s important that employees who handle important information are given effective records management training.
With good records management training, staff members will learn how to comply with the law when it comes to storing, handling, and keeping information safe for lengths of time.
Recognising the life cycle of a record is an important part of effective record management. It enables businesses to keep track of how records are created and when they are used and disposed of. The first 90 days of the record are when 90% of the use takes place. After the 90 days period, records tend to be stored away. This process is known as the lifecycle of a record and it is made up of four stages: create, maintain, store, and dispose of.

It is designed to address the overall commitment, the role of records management, links to relevant policies and documents, staff roles and responsibilities, and monitoring of compliance. Having a robust records management policy in place ensures that businesses are prepared to maintain records to a high standard and mitigate the risks.
A record is a key element vital for supporting day-to-day business activity and decisions. It could include emails, paper documents or electronic files documenting business activity. Data and information are also held as records, such as customer details, customer activity and invoices. Policy and procedure documents are also often classed as records.
